BRIEF JOB DESCRIPTIONS

Event Commissioner: The event commissioner is the individual in charge of the entire event. This position oversees all of the other positions, and works directly with Maine Games staff to see that all aspects of the meet run smoothly and seamlessly. This position reports directly to the Maine Games executive director. Position begins in early March and concludes in July after post-event meeting

Meet Director: The meet director reports directly to the event commissioner. The meet director is responsible for the smooth operation of the meet from all events and aspects. The meet director may be called upon to settle disputes, change the schedule if necessary, and produce a quality event by communication and implementation of directives of the event commissioner. The meet director oversees the officials coordinator, the meet announcer, and all volunteers associated with events.

Media/Results Coordinator: This position reports directly to the Maine Games executive director/staff. The Media/Results Coordinator is responsible for developing story ideas for the print and electronic media, creating press releases leading up to the event, and following up with a story about the event including all results and delivering them to the Maine Games statewide media network within 6 hours of the conclusion of the meet. This position will work closely with the Maine Games event registrar as well as the official timer/scorer.

Officials Coordinator: This position will help solicit officials for each of the various events, work with scheduling, and will make sure event officials have the materials and equipment they need to smoothly operate their event. The Officials Coordinator reports to the Event Commissioner and the Meet Director.

Event Official:
The event officials will work with the officials coordinator and the meet director and report directly to the officials coordinator. Event officials are responsible for the smooth operation and coordination of the individual events of the track meet. Each event will have its own official who will run their event, coordinate with general volunteers as needed, and record and report all results to the official time/scorer. Event officials report directly to the officials coordinator.

Venue Set-up: This position reports directly to the Event Commissioner, and is responsible for helping set up the entire venue including tables, tents, chairs, coolers, and other equipment. Ability to lift 40-50 pounds is required. This position may work with the facilities management as well to get equipment into position as needed.

Venue Clean-up: This position requires a person or persons with an eye for detail as our goal is to leave the venue as clean or cleaner than when we arrived. This position reports directly to the Event Commissioner, as well as the Volunteer Coordinator. There may be some lifting involved in moving equipment back to storage, and carrying trash bags or barrels to the proper location.

Athlete Check-in: This position reports to the Event Commissioner and communicates with the meet timer/scorer. Responsibilities include noting athletes who have arrived, providing them with their event bib-number, providing them with an athlete-goodie bag, and directing them to their warm-up location. This position is the first contact most athletes will have with the event so a great first impression is needed.

T-shirt distribution: Athletes who purchase their event T-shirt with their registration will need to pick up their shirts at the event. This position requires attention to detail. This position reports directly to Athlete Check-in and the Event Commissioner.

Medical: These position require certified athletic trainers, EMTs or physicians. These positions report directly to the Event Commissioner. These positions are responsible as first-responder, as well as emergency medical attention. Athletic trainers may be asked to assist with typical track and field injuries. We are not asking our trainers to perform any function that would be preventive (such as ankle wrapping).

Assistant Timer: This position reports directly to the official meet scorer/timer and assists in recording, and reporting meet information and results in a timely manner.

General Assistance: This position reports directly to the Volunteer Coordinator. This position is responsible for any help needed anywhere in the facility. This position requires the ability to lift between 30-40 pounds on occasionally.

Event Photographer: This position requires a good camera (not a point-and shoot). Tele-photo lens is also strongly suggested. This position reports to the Media/Results coordinator. Event photographers will be assigned to an individual event or events. All photos taken at this event will become the property of the Maine Games for use in publicity. All photographs taken must be presented to the Maine Games on a CD within two days of the conclusion of the event. Some may be used for local newspaper coverage and all photos will be properly credited if used in print or online.

Volunteer Coordinator: This position reports directly to the Event Commissioner and is responsible for helping to solicit volunteers, and assigning and supervising volunteers at the event.

Awards Coordinator: This position works closely with the official timer/scorer, and is responsible for quickly and efficiently presenting awards to winners after an event is concluded. This position reports directly to the Event Commissioner.
